Ordering a deed poll means trusting us with your name, your address and your date of birth. This page explains what happens to those details: we collect only what drafting and posting your document requires, we keep it for as long as the law and your interests need, and we never sell it or pass it on for anyone else's marketing. The only email you may get beyond your order is news of our own services, and one click ends that.

The data controller#

Deed Polls Online, 3rd Floor, 86–90 Paul Street, London EC2A 4NE, is the controller of the personal data described here. Any question about your data, and any request to exercise your rights, goes to support@deedpolls-online.co.uk.

The details we collect, and what each is for#

Everything we hold about you falls into one of four groups, and every item in them has a job to do.

Drafting the deed

The deed records your present name and the name you are taking, so we need both, spelled as you want them to appear. We also need your date of birth, which is printed on the deed, and your title if you are changing that too. For a child's deed poll we need the child's details and the names of everyone who holds parental responsibility.

Payment and postage

A deed poll is a paper document, so we need a postal address to send it to. We need an email address for the order confirmation and for any question a paralegal has to ask before drafting. A telephone number is optional; if you give one, we use it only when email has failed to reach you.

Card details never reach us. Stripe takes the payment on its own checkout page, and all it tells us is whether the payment went through.

Writing to us

When you contact us we keep your message and the address it came from, so that we can reply, and so that a colleague can see the history if you write again.

Simply reading the site

Reading the handbook identifies you to nobody. Cloudflare, which hosts the site, logs the technical data needed to serve pages and to keep them safe. Cookies for measurement and advertising are set only after you agree, as the cookie policy describes. The search box works inside your own browser, so nothing you type into it is sent to us.

The legal grounds we rely on#

UK data protection law requires a lawful basis for each use of personal data. These are ours.

  • Contract. Drafting the document you ordered, posting it, and dealing with your questions about it.
  • Legal obligation. Holding sales records for tax purposes.
  • Legitimate interests. Keeping our own record of every deed we draft, so that we can help if the document is questioned years later, and letting the people who have bought from us know about similar services of ours. You can object to either of these, and any marketing stops the moment you ask.
  • Consent. Cookies for analytics and advertising, and email about the services of other companies in our group. Neither happens unless you agree, and consent can be withdrawn whenever you like. The sections below explain how.

The suppliers who process it#

A handful of suppliers help us run the service. Each one is a processor working under our instructions, and none of them may use your details for any purpose of its own. Nobody else receives your data, and it is never sold.

Separately, the law can oblige us to disclose information, to a court or a regulator for example. It happens rarely, and a request on its own is not enough; there has to be a legal requirement behind it.

Cookies, and asking before we measure#

No analytics or advertising cookie is set on this site until you have made a choice. The question is put to you on your first visit, and while it is unanswered measurement is genuinely off, not just out of sight.

  • Strictly necessary. One stored setting that remembers your cookie choice, plus whatever your browser itself needs to display the page. These need no consent and cannot be switched off.
  • Measurement. Google Analytics, which shows us which pages people use and where they give up. Only if you accept.
  • Advertising. Google Ads, which reports whether a sale followed one of our adverts. Only if you accept.

Your choice can be changed at any time through the cookie settings link at the foot of every page, and the cookie policy lists every cookie by name.

Email from us, and the lines we do not cross#

Your personal data is never sold, rented or exchanged, and it is never handed to another organisation so that they can market to you. What follows is the complete list of what we may send, and how each kind is stopped.

Our own services

As one of our customers, you may hear from us by email about our own similar services. Regulation 22 of the Privacy and Electronic Communications (EC Directive) Regulations 2003 permits a business to write to its own customers in this way. Every such email carries an unsubscribe link, and an email to support@deedpolls-online.co.uk works just as well. We act at once, and opting out changes nothing about your order or the acceptance guarantee.

Companies in our group

We may also want to tell you about the services of other companies in our group. In law that is marketing from a different business, so it is sent only if you have agreed to it, for instance by ticking the box at the checkout. The box is optional, ordering never depends on it, and you can withdraw your agreement at any time in the same way as above.

Review invitations

After an order, an invitation to rate the service may reach you from us via Reviews.co.uk. Whether you do is up to you, and unsubscribing stops the invitations as well.

Messages that are part of the service

The order confirmation, any question from a paralegal, and the dispatch notice are not marketing. They are sent while your order is open whatever your marketing choices.

Retention periods#

  • Order records, including the deed itself: seven years. Tax records must be kept for six, and a copy of the deed lets us help if the document is questioned long after the order. With SafeKeep, the record of your deed is kept for ten years from the date of the order, since that is the service's purpose.
  • Email correspondence: two years after the last message in the thread.
  • Contact form messages that do not lead to an order: twelve months.
  • Analytics data: for the period set in Google Analytics, and only where you consented.
  • Your marketing choices: while you remain subscribed, and after you unsubscribe a note that you did, so that you are never emailed again by mistake.

At the end of each period the data is deleted. If you would like something removed sooner, ask, and we will do it unless the law requires us to keep it.

Your rights over your data#

You are entitled to a copy of the personal data we hold about you, to have it corrected or deleted, to restrict or object to how it is used, and to take it away in a portable format. Where a use rests on your consent, you can withdraw that consent.

Send any request to support@deedpolls-online.co.uk. We reply within a month and make no charge. Before releasing anything we may ask you to confirm your identity, so that nobody else can obtain your details by asking.

If our answer does not satisfy you

The Information Commissioner's Office regulates data protection in the UK, and you can complain to it at ico.org.uk. We would appreciate the chance to put things right first, but that is your choice.

Keeping it safe#

Data travels over encrypted connections, we choose suppliers partly for the strength of their own security, and only the people who need order data to do their work can see it. We will not pretend any system is flawless. Should a breach ever endanger your rights, you would hear about it from us, and we would report it to the Information Commissioner's Office.

Children's details#

Only adults buy from us. Where the deed poll is a child's, the details of that child come from a parent or guardian who holds parental responsibility, and they are used for one thing: drafting the document.

When this policy changes#

Any change is marked by a new date at the top of this page. If a change makes a real difference to how your data is used, we will say so in plain terms rather than quietly replacing the page.
